Appearance Policy
PURPOSE
To establish consistency in dress and overall appearance in order to create a friendly and therapeutic environment for our patients and other guests. Specific attire and grooming requirements have been established to foster a professional appearance and to assure that the policy requirements are applied fairly to all employees.
SUMMARY
The system visit may be made up of many encounters and experiences. Our hope and expectation is that the employees our guests encounter will be perceived as professionals who provide competent, safe, caring and courteous services. Each employee, although educated and experienced in various capacities, is unique in personality, physical appearance and background. Each employee is responsible, through his or her own appearance and actions, for upholding the Values and quality of United Hospital System, working as individuals and together as a team to maintain the standard of quality in appearance and service that our guests have come to expect and deserve.
The Appearance Policy is not an arbitrary standard but rather a well-planned-out policy with considerable attention to detail in order to provide every guest and employee a high quality and friendly environment with professional appearing and behaving employees to serve our guests' needs. The success of our service depends on each and every employee.
Applicants must agree to comply with the Appearance Policy prior to a job offer being made. The rationale supporting the specific elements of the Appearance Policy will be explained to all new employees during their orientation. The Department Director will reinforce the Appearance Policy to all employees on an on-going basis.
Each employee is responsible for adhering to the Appearance Policy. Employees not in compliance with the Appearance Policy may be subject to the Disciplinary Process. Failure to adhere to the Appearance Policy may result in disciplinary action, up to and including discharge from employment.
GROOMING
Uniforms and General Appearance
Uniforms/attire must always be cleaned and pressed. As a condition of continued employment with United Hospital System, employees are responsible for maintaining a weight and size to allow for the complete performance of the assigned job and not to exceed the range of sizes of uniforms.
After-Shave, Perfume and Deodorant
Due to the close contact with patients and other guests, the use of an anti-perspirant and deodorant is required. For the same reason, the use of strong, heavy scents and fragrances is unacceptable. A light, mild scent or fragrance may be worn; however, it must be used lightly in consideration of others.
Hair
1. United Hospital System's professional image does not include extremes in style, dyeing, bleaching or coloring. Hair must be natural in appearance and well maintained.
2. In general, the following are the hairstyle guidelines for men:
A. Cut and tapered so that the hair does not extend beyond or cover any part of the ears, forming a smooth, symmetrical appearance;
B. A neat, natural style;
C. Extreme, asymmetrical, or bi-level styles are unacceptable;
D. Shaving of the head or any portion of the head or eyebrows is unacceptable, however, in the event that an employee experiences natural balding that produces an imbalanced appearance, shaving the head partially to correct the imbalance is permitted, also permitted is a short crew cut to comply with military service standards;
E. "Mushroom" or "surfer" cuts that are shaved close to the head with very long hair over the shaved portion are unacceptable;
F. Hair grooming products may be used to create a soft, natural hairstyle within these guidelines; and
G. Artificial hair is acceptable provided it meets all of the above requirements.
3. In general, the following are the hairstyle guidelines for women:
A. Hair should be kept neatly combed and arranged in an attractive, classic style;
B. Hairstyles must be symmetrical in appearance and balanced proportionally;
C. If hair is teased or back-combed, it should be kept to a minimum and should be for body and shape only;
D. Hair should be kept no longer than neck length or, if longer, the hair must be restrained and affixed securely to the head (french braid, etc);
E. Extreme, asymmetrical, or bi-level styles are unacceptable;
F. Shaving of the head or any portion of the head or eyebrows unacceptable;
G. Hair grooming products may be used to create a soft, natural hairstyle within these guidelines;
H. Artificial hair is acceptable provided it meets all of the above requirements; and
I. Hair color should not be extreme from natural shades (i.e. pink, green, etc. are unacceptable).
Sideburns
Sideburns should be neatly trimmed and may extend to the midpoint of the ear. Flare or mutton chops sideburns are unacceptable.
Mustaches and Beards
Mustaches and beards must be neatly groomed.
Name Tags, Pins, and Decorations
1. Name tags are considered an integral component of all employee uniforms or work attire. United Hospital System employees must wear their name tags on the chest portion of the outer-most layer of clothing in an upright, readable position which identifies their name and their respective positions at all times. Name tags may not be worn as tie clips nor on waistbands. Name tags should be removed when engaging in non-work related activities such as dining in off campus location.
2. The only pins that may be worn on a name tag are the most recent service pin and work-related certification pins, such as BLS, ACLS, etc. Only two pins may be worn on the name tag at one time.
Eyeglasses/Sunglasses
1. Eyeglasses must be of a conservative style and color.
2. As sunglasses are a block to interpersonal communications with guests, they should be avoided, if possible. As a general rule, sunglasses may be worn in jobs in which the direct sunlight would prevent the employee from performing his/her job safely or efficiently. Glasses with silver-coated or dark, opaque lenses that don't allow the employee's eyes to be seen are unacceptable. Sunglasses, when worn, should have both the frame and lens of a neutral color and in a conservative style with no contrasting logos. Sunglasses are not to be worn at night, in dark areas, or indoors.
Tattoos
Visible tattoos are not considered to be in the best interest of the desired professional appearance of our employees and are unacceptable. Methods to conceal visible tattoos, such as, but not limited to, make-up or bandages are acceptable.
Undergarments
Employees are required to wear appropriate and concealed undergarments at all times so that the outline and color of the undergarments is obscured from sight. Women must wear a bra or camisole under uniform/attire or shirt.
Fingernails
1. Only clean, presentable fingernails will be considered acceptable.
2. If women wear nail polish, the polish must be clear or a color complementary to the individual's skin tone.
3. Men may only wear clear nail polish.
Special requirements for employees who provide patient care, have contact with direct patient care supplies, or are involved in food preparation:
1. The following categories of employees, allied health professionals, and non-employed, dependent staff, may not wear artificial or acrylic fingernails:
A. Those who provide patient care or have direct contact with patients during their care;
B. Those who handle items that will be directly used in patient care. This includes all CSPD personnel and staff involved in the preparation of clean and sterile supplies; and
C. Those employee's who prepare or serve food.
2. Natural nails should be clean and not exceed one-fourth of an inch beyond the fingertip.
Jewelry
1. Rings, wedding bands, conservative tie clips, and a conservative business-style watch are permitted. Jewelry should be kept to a minimum and worn to complement attire if needed.
2. Nose rings/studs, eyebrow rings/studs and/or tongue rings/studs are unacceptable. Methods to conceal visible piercing, i.e., bandages, are unacceptable.
3. Women may wear earrings that do not distract from attire. The shape of the earrings must be in good taste and complement the uniform.
4. Earrings may be clip-on or pierced and must be worn on the bottom of the earlobe.
5. Earrings on men are unacceptable.
6. Please refer to department specific policies related to safety and infection control requirements related to jewelry.
Make-Up
1. Women may wear make-up that enhances their natural features and creates a fresh, natural appearance.
2. Make-up on men is unacceptable.
3. In general, the following are the make-up guidelines for women:
a. Foundation base may be worn in a shade complementary to the individual's natural skin tone;
b. Blush is acceptable when used to accentuate the cheek bones and to complement skin tone;
c. Eyeliner and eye shadow are acceptable in neutral colors that are close in value to the skin tone. Eye shadow and eyeliner will not stand out on the eye, but should create a natural blended appearance. Eye shadow will not extend beyond the natural eye area. Eyeliner will not extend beyond the corners of the eye. Eye shadow and eyeliner are to be applied in a well-blended method to create a natural appearance. Mascara may be applied lightly in shades of brown or black;
d. Eyebrow color may be applied lightly to highlight the eyebrows in shades as close to the natural hair color as possible, and applied in such a way as to resemble natural eyebrows; and
e. Lipstick/gloss may be applied to complement appearance avoiding extremes in color. Lipstick/gloss that is extreme in color such as bright, deep or neon colors are unacceptable.
MEDICAL EXCEPTIONS
Any request for a medical exception from the Appearance Policy must be presented to Employee Health Services. A written physician's note must accompany the request. A copy of the request and the physician's note will be maintained in the Employee Health Services files and reviewed by the department supervisor and a Human Resources Representative.
